Manage your orders
Everything in the app belongs to an order. This page covers the dashboard, the order list and the order screen.
The dashboard
The Dashboard has two sections.
Today's jobs — orders whose work dates cover today, with the customer and site for each. An order appears here on every day it runs, not only the day it starts.
Response needed — everything waiting on you: follow-ups that have come due, and customers whose messages you have not answered. Select a card to open the order, select Message to reply from the dashboard, or swipe the card for its other actions, including snoozing a follow-up.
When there is nothing outstanding, the dashboard says so.
Beside Today's jobs is the weather for the postcode shared by most of your active orders: conditions, high and low. Select it for the hourly forecast, the week ahead, and any National Weather Service alert for the area.
Not a warning system
The forecast is cached and alerts may be delayed. Check weather.gov before relying on it.
The order list
The Orders tab lists every order, newest first. Each card shows the project, the customer, the location and the current status. The tab shows a badge with the number of customers waiting on a reply.
To add an order, select New order. See Create an order.
The order screen
At the top: the status badge, which you select to change the status; the customer; and a contact button that offers call, text or email, with the customer's preferred method first.
Below that are the follow-up date and the work dates. The disclosure arrow beside them expands the rest: the scope, the site address, the files and Edit details.
Then four tabs:
History — what has happened on the order, newest first. Above it is what is outstanding: They see, the sentence your customer is currently shown about what is needed from them, and Asks, the items you are waiting on from the customer. Give an ask a due date and it is flagged when late. Customers with a portal see the same items in the same wording.
Messages — one thread per order with your customer. A message the customer sends while you have the order open appears in the thread as it lands, and the count in the top bar moves with it, without reloading; a tab you are not looking at catches up when you return to it. Messages are never deleted. The customer must have accepted an invite to reply. Without one, you can still email them from the contact button. Emails the app sends use the signature and templates set in Settings → Branding. See Branded emails.
People — crew and subcontractors on this order, with the days they are on. Anyone in your directory can be assigned. An assigned subcontractor also sees the order in their own portal.
Billing — the total, payments received and the balance. See Track payments and Project invoices.
Dates and follow-ups
Work dates record when the work happens. Follow-ups record when to make contact.
Set a start date alone for a one-day job, and an end date when you have one. The end date is an anticipated finish, and the order is flagged overdue if it passes while the order is still in progress. A start date can be changed from the dashboard.
Every new order gets a follow-up automatically, at the interval set in Settings → Layout → Follow-ups (14 days by default). When it comes due, the order appears in Response needed. Select the ⏰ button to snooze it, set a specific date, or clear it.
Photos and files
Expand the order details and select Files → Add files. Images and PDFs can be added, several at a time, and upload as soon as they are chosen. On a phone the file picker offers the camera.
Every file belongs to an order. Customers can send you files and see the files they sent; they do not see files you have added. A customer can remove a file they sent until you have opened it.
Deleting an order
The delete action is at the bottom of the order and asks for confirmation. Deleting is different from cancelling: a cancelled order remains as a record that the work did not go ahead, while a deleted order is removed.
