Track payments
The Billing tab on an order shows the balance owed at the top and the figures behind it.
The app records money, it never moves it
There is no card entry or payment processing, on your screen or your customer's. You take payment by whatever means you already use and record what was received. Nothing in the app can charge anyone.
Set the total
Select the total and enter the agreed price.
For a breakdown, add line items instead, each with a description and an amount. Once an order has line items, the total is the sum of the lines and the single total field is no longer shown. A negative line is a discount.
Record what came in
Select Record a payment and enter the amount (Use balance fills in the outstanding figure), whether it is a deposit, a payment or the final payment, the payment method, the date, and an optional note such as a cheque number.
The balance is calculated from the list of payments, so deleting a payment entered in error corrects the balance.
The heading states the position: Balance due, Paid in full, Refund owed when payments exceed the total, Paid to date when payments have been received but no total is set, or Nothing recorded yet.
Send it to the customer
The invoice is available as a preview at any time, as the email sent when the order is closed, and on the customer's portal. All three show the same document. See Project invoices.
Status and money are separate
Deposit Pending describes where the order is in your workflow; the invoice records what is owed. Setting one does not change the other.
