Project invoices

An invoice is the order's Billing tab — the total, payments received and the balance — presented to the customer. The same calculation feeds your screen, the customer's portal and the email.

The app records money, it never moves it

There is no card entry or payment processing, on your screen or your customer's. You take payment by whatever means you already use and record what was received. Nothing in the app can charge anyone.

Preview the invoice

Preview email on the Billing tab opens exactly what your customer will be sent, using your branding. It always reflects the current figures.

Once the balance reaches zero, the same document is titled as a receipt.

Send it when the order closes

Select the status badge and choose Complete order. The close-out sheet asks for:

  • Final invoice total — prefilled with what is already agreed; change it if the final figure differs.
  • Details — an optional line about what the invoice covers.
  • Mark the remaining balance received — tick it if you have been paid, and say how: cash, check, card or other. The payment is recorded with the close-out, so the invoice that goes out shows a zero balance.
  • Email the final invoice — to the customer's email on file. Untick it to close the order without sending.

The email includes a How did we do? row with one button per review platform set up in Settings → Account → Reviews. If no platforms are set up, the row is omitted.

What the customer sees

If they have a portal they see the same figures there, always — the total, what they have paid, what is left — and the same How did we do? buttons once the job is complete. If they do not, the email is the invoice.

Status and money are separate

Final Payment Pending describes where the order is in your workflow; the invoice records what is owed. Neither is derived from the other. An order can show Completed on the customer's rail while the sentence above it says Final payment due. See Job statuses.
