Invite people
Everyone on an order can be kept informed without you sending updates individually. What each person can see depends on their role.

Inviting is optional for everyone. The app is complete with only you signed in.
Customers
An invite gives your customer a login and a portal. Send it from the order's People tab or from the People directory. The customer needs an email address on file.
When the customer opens the link they set up their own login, which is bound to the record you created. Customers cannot sign themselves up; nobody appears in your directory unless you add them.
Invites expire after 24 hours
Expired invites show as Invite expired in the People tab. Resend to issue a new one. You can revoke an invite at any time.
Once a customer accepts, their email address becomes read-only on your side, because it is now their login. They can message you and send you files.
Their portal shows their order and nothing else:
- Progress, as a four-step rail (Pending, Scheduled, In Progress, Completed) with the current status in words above it. See Job statuses.
- History, and anything waiting on them, in the same wording you see.
- The invoice: the total, what they have paid, and the balance. It is the same calculation as your Billing tab.
- Messages, one thread per order.
- How did we do? when the order is complete, linking to the review platforms set in Settings → Account → Reviews.
Customers never see your other customers, your notes, your files, your costs, or your subscription. If your trial lapses their portal continues to work.
One customer, two contractors
If a customer already has a login because another contractor invited them, they use the same login. Their portal shows both sets of work. Neither contractor sees the other's.
Subcontractors
Add subcontractors from People, then assign them to an order from that order's People tab, with the days they are on. Invite them from the same place. Their portal opens on My jobs and shows the orders you have assigned.
How much of an order they can see is set by their tier on their record:
- Guest Contractor — work details only. Your customer's name, address, phone and email are hidden, and the subcontractor cannot write anything. New subcontractors start at this tier.
- Trusted Subcontractor — the full order, including your customer's contact details and the timeline. They can add timeline notes and photos.
Subcontractors never see your other work, your invoices or your subscription. Speciality, licence and insurance fields, and what each tier can write, are described on Your people directory.
Crew
Crew have no login and no portal. Add them to an order's People tab with their days so the order records who was on site. If a crew member later becomes a subcontractor, add the subcontractor role to the same record. See one row per person.
One login, one role
A single email address can be a customer or a subcontractor, not both. If you work with someone in both capacities, create two records.
