Your people directory

One directory for everyone you know: the people you work for and the people you work with.

One row per person

The directory matches records by email address, so one person can be both a customer and a crew member on a single row with two roles.

Adding a role to someone creates that record from what is already on file. Removing a role archives it and leaves the others unchanged. Someone with no email address is always their own row, since matching by name could merge two different people.

Add someone

Select Add someone, then choose the role. The role determines the rest of the form. For a customer you can also record the site address and their preferred contact method, which the contact button offers first.

Import from my contacts is at the top of the same form. On Android this uses Chrome's contact picker. On other platforms, export a .vcf file from your phone or address book and select it. In both cases you review and tick a list before anything is saved.

When adding a subcontractor you can photograph their licence instead of typing the details. The scan fills in the form for you to check before saving. The photo is not kept.

Customers

A customer starts as a record you enter. A login and a portal are optional, and everything else works without them. How invites work, what a customer sees once they accept, and why their email address becomes read-only are described on Invite people.

Subcontractors

A subcontractor is a trade partner you delegate work to. Add one from People or from the Subcontractors screen, which also carries speciality, company, licence number and insurance.

Every subcontractor carries a tier, and it applies to all their jobs:

New subcontractors start as Guest Contractor.

Choosing a tier

Use Guest Contractor unless the work requires the subcontractor to contact your customer directly.

Assign a subcontractor to an order from that order's People tab, with the days they are on. Their portal then opens on My jobs and shows those orders at the level the tier allows. They never see your other work, your invoices or your subscription.

Inviting a subcontractor is optional. The invite is sent the same way as a customer's. See Invite people.

Archiving

Archiving removes someone from the directory and from the customer picker, and keeps every record and order intact. It asks for confirmation and can be undone.

On a trial, archiving finished work is also how you get back under the limits.
