Introduction

Our application is built for contractors and creative professionals who could use some help managing their projects. It is a Client Relationship Management (CRM) application with a core focus of being simple to use while still being powerful enough to handle complex project workflows.

Personas

Users are categorized into customers, crew and contractors. Every contractor can have multiple accounts, each with a different role and access level.

The contractor. You create your own login and own everything in your account: your people, your orders, your files and your invoices. No other contractor can see your work. You can view and export your data at any time.

Customers. A customer starts as a record you enter. They have no login unless you invite them. Once they accept, they get a portal showing their order's progress, their balance, and a message thread that reaches you.

Subcontractors and crew. People you work with rather than for. Crew are recorded on an order by name. A subcontractor can be invited to a portal of their own, showing only the orders you assign them.

One login, one role

A single email address can be a customer or a subcontractor, not both. If you work with someone in both capacities, create two records.

The four tabs

Dashboard — today's jobs, everything waiting on a reply from you, and the weather at the site. It is generated from your orders, not maintained by hand.

Orders — every job you have, newest first. Photos, messages, the schedule, the invoice and the people on site all belong to an order.

People — one directory for everyone you work with: customers, crew and subcontractors. The same person can hold more than one role on a single row.

Settings — your account and subscription, branding, layout options and the help form.

Terms used in this guide

  • Order — a customer plus the work you are doing for them. Also referred to as a job.
  • Portal — what a customer or subcontractor sees after accepting an invite: their own work only.
  • Invite — the link you send so that someone can access their portal.
  • History — the record of what happened on an order. Messages are the conversation about it.
  • Ask — something you are waiting on from a customer, such as a key, a colour choice or a deposit.
  • Follow-up — a reminder to make contact. Separate from the work dates, which record when the work happens.

We offer a sliding scale pricing to meet the needs of anyone interested in using our service. Please contact us to discuss your specific needs further.

The trial lasts 14 days with every feature enabled and no payment details required. After that, the subscription is priced per contractor login. See Your subscription.

If the trial ends and you do not subscribe, nothing is deleted or hidden. You keep read access to everything, your customers' portals continue to work, and you cannot add new records until you subscribe.
